Yes. Dealerships use ChatGPT to draft lead replies, vehicle descriptions, service follow-ups, SOPs and report summaries. Run it in a company workspace instead of personal accounts, and have a person check every price, payment and promise before it reaches a customer. Keep credit applications and deal figures out until your security plan covers the tool.
In short
- ChatGPT saves dealership staff time on writing and admin: lead replies, follow-ups, vehicle descriptions, service explanations, SOPs and report summaries.
- Every department has a use, from the BDC to F&I. Cox Automotive found that 82% of dealers already use AI in some form.
- Treat what it writes as a draft. Prices, payments and rates come from your desk, not from the tool.
- Use a company workspace. ChatGPT Business starts at 2 seats, $40 a month on annual billing.
Can dealerships use ChatGPT?
Yes. No rule bans it, and most stores already use some form of AI. Cox Automotive's 2026 tracker, a survey run by a company that sells dealer software including the VinSolutions CRM, found that 82% of dealers do.
The easiest wins are internal. Staff use ChatGPT to draft work, and a manager reviews it before it goes out. That saves time every day at low risk. The rules your store already follows for customer data, ads and texts still apply, and we cover them briefly below.
What can each department use ChatGPT for?
Every department can use it to draft and summarize. Here is where it helps and who checks it.
| Department | Good uses | The human check |
|---|---|---|
| Sales and BDC | Drafts of replies to internet leads and follow-up messages, call and chat summaries for CRM notes, objection role-play | The rep reads every message before it goes out. Price, availability and incentives come from live inventory. Check text consent before any text. |
| Used cars and marketing | Vehicle description drafts, social posts, review replies, ad copy ideas | Check year, trim and options against the VIN decode, and mileage against the odometer and inventory record. Ad terms and disclosures come from approved inputs. No fake reviews. |
| Service | Plain-language explanations of advisor findings, post-visit follow-ups | The advisor confirms the findings and the estimate. Safety items stay in the advisor's own words. |
| F&I | General explanations of products such as GAP and service contracts, objection role-play, training | The F&I manager supplies the real terms. No rates, payments or approval promises. |
| Management | SOPs, checklists, job posts, meeting notes, summaries of aged-unit and sales reports | Check every number against the DMS. |
Here is what that looks like day to day, with a sample prompt for each department. Fill in your own details in the brackets, and leave customer names, phone numbers and finance details out.
Sales and BDC
- Lead replies. Paste the shopper's question and the vehicle details from your inventory, and get a short reply that answers it and asks for an appointment.
- Follow-up messages. Draft a day 1, day 3 and day 7 follow-up for a showroom visit that did not buy, in your store's voice.
- CRM notes. Paste rough call notes and get a clean summary with next steps.
- Role-play. Have ChatGPT play a shopper who wants to think it over or is holding a competitor's quote, and practice your answer.
Sample prompt: "Write a short reply to an internet lead asking if the [year, model, trim] is still available. It is in stock. Do not mention price. Offer [time 1] or [time 2] tomorrow and sign it from [rep name] at [store]."
Used cars and marketing
- Vehicle descriptions built from the options list and condition notes.
- Social posts for new arrivals, service specials and community events.
- Replies to good and bad reviews that sound like a person wrote them.
- Several headline and ad copy versions to test. Add required disclosures from your approved text.
Sample prompt: "Write a 120-word description of a used vehicle from these details: [year, make, model, trim and options from the VIN decode, mileage, condition notes]. Plain language. Do not add any feature or claim I did not give you."
Service
- Technician notes rewritten so a customer can follow them.
- Post-visit thank-you messages and reminders for declined work.
- Short answers advisors can use for common questions, such as why a maintenance item is recommended at a given mileage, based on the manufacturer maintenance schedule you paste in.
Sample prompt: "Rewrite this technician note in three sentences for a customer with no car knowledge: [note, with the customer name and RO details removed and safety items left out]. Do not change the findings and do not add urgency."
F&I
- Plain explanations of GAP, service contracts and other products for training.
- Menu presentation practice through role-play.
- Training quizzes for new hires, built from your own product guides.
Sample prompt: "Act as a customer asking whether they need GAP when putting money down. Ask two follow-up questions so I can practice explaining when GAP fits and when it does not."
Management
- SOPs and checklists. Describe how a process works today and get a written step-by-step version.
- Job posts for salespeople, technicians and BDC reps.
- Meeting notes turned into action items with owners.
- Report summaries. Upload an aged-inventory export with customer and cost columns removed, and ask for units over 60 days, grouped by model.
Sample prompt: "Turn these notes into a step-by-step SOP for appraising and checking in a trade-in, with a checklist at the end: [notes]."
When a prompt works, turn it into a plugin with Plugin Creator and share it with your workspace. A plugin keeps the instructions and reference files together, so every rep starts from the same instructions instead of writing their own.
Where should a store start?
Pick one workflow, such as internet lead replies or vehicle descriptions. Record how long it takes now, and measure again after 30 days. Expect time savings on drafting and admin first. Add the next workflow once the first one sticks.
What should stay out of ChatGPT?
- Credit applications, Social Security numbers, driver license numbers, income and bank details.
- Full deal jackets and trade payoff details.
- Payment, rate and desking calculations. ChatGPT can explain a figure the desk already produced. It should not produce the figure.
- Any decision to approve, decline or price a customer's credit.
To reword a customer email, take out the name, phone, email, VIN and finance details first, then add them back by hand.
What rules apply for car dealerships?
No federal law bans AI at dealerships. The rules your store already follows apply to anything ChatGPT drafts, and some states have their own AI laws, so check yours. A court struck down the FTC's CARS Rule in 2025 and the FTC withdrew it in 2026, but the FTC still goes after dealers over advertised prices and add-on fees.
| Rule | Who it covers | What it means for AI tools |
|---|---|---|
| FTC Safeguards Rule | Dealers that finance or arrange financing, or lease for over 90 days | Cover AI tools that touch customer data in your security program: risk assessment, vendor vetting and access controls. |
| FTC Act and state advertising rules | Every dealer | AI-written ads and replies are your ads. Advertised prices must be real and include all required fees. |
| Regulation Z and Regulation M | Dealers that advertise credit or leases | Payment, down payment and term claims trigger full disclosures. Only advertise terms you actually offer. |
| Regulation B (ECOA) | Dealers that take part in credit decisions | Decline notices must go out on time and give the specific reasons. Keep a person responsible for credit decisions and notices. |
| TCPA | Dealers that text or call customers | Written consent before automated marketing texts and AI voice calls. Honor do-not-call lists and every opt-out. |

Is a customer-facing bot a different risk?
Yes. In late 2023 a Chevrolet dealership in Watsonville, California had a ChatGPT-based chat bot on its website. A visitor said he got it to agree to sell a new Tahoe for $1. Inc. reported in December 2023 that the bot was no longer on the site.
A bot that talks to shoppers on its own needs approved facts to draw from, no authority over price or credit, consent and opt-out handling, and an easy handoff to a person.
Which ChatGPT plan fits a dealership?
Most stores fit ChatGPT Business. Dealer groups that need role-based access and audit logs fit Enterprise.
| What you get | ChatGPT Plus | ChatGPT Business | ChatGPT Enterprise |
|---|---|---|---|
| Price | $20 per month per person | Standard seat: $20 per month on annual billing, $25 monthly | Custom, through sales |
| Training on your data | May be used unless the user opts out | OpenAI says it does not train on Business data by default | OpenAI says it does not train on business data by default |
| Admin controls | None | Admin console, admin roles, SSO, domain verification, plugin controls | Adds SCIM, role-based access, data residency, key management and compliance logs |
| Seats | 1 | 2 minimum, listed for teams of 2 to 200 employees | Large groups |
| Fits | One person, no customer data | Single stores and small groups | Dealer groups that need role-based access and audit logs |
A salesperson who pastes a customer email into a personal ChatGPT account may be sharing it for training. A company workspace avoids that.
Business costs this much on list prices (Standard seats, OpenAI pricing as of October 2026):
- 2 seats: $40 a month on annual billing, $50 monthly.
- 5 seats: $100 a month annual, $125 monthly.
- 10 seats: $200 a month annual, $250 monthly.
- 20 seats: $400 a month annual, $500 monthly.
Premium seats cost $100 a month on annual billing ($125 monthly) and give five times the usage. OpenAI lists SOC 2 Type 2 for Business. See OpenAI's pricing page for current numbers, and our ChatGPT Workspace guide for how Business and Enterprise differ.
Does ChatGPT work with your DMS or CRM?
Not directly. As of October 2026 OpenAI's plugin directory has no plugin for CDK, Reynolds and Reynolds, Tekion, VinSolutions, DealerSocket or Elead. Where your vendor allows API access, a custom app can connect ChatGPT Business to your own tools.
Keep the DMS and CRM as the record for inventory, pricing and credit data, and bring into ChatGPT only what a person has reviewed and is allowed to share. ChatGPT Business does have plugins for Gmail, Outlook, Google Drive, SharePoint, Slack, Salesforce and HubSpot, among others. In Business, apps are on by default, and admins can turn any of them off.
DMS and CRM vendors are also building AI into their own platforms. Cox's 2026 tracker found that 63% of dealers trust AI built into their dealership tools more than standalone AI. Ask your vendor what it offers and what its data terms say.
What should a store AI policy cover?
- Which plan and accounts are approved. No personal accounts for customer work.
- What may go in, and what stays out until your security plan covers the tool.
- Who approves any price, payment or rate in a message or ad.
- Text consent and opt-out checks, and disclosure review for ads.
- Vetting of AI vendors and plugins.
- Staff training.
- Who owns the policy and reviews it.
Can 360 Automation AI set this up for a dealership?
ChatGPT Business is the workspace our Team plan runs on. We set it up and manage it for up to 20 employees, reimburse Standard seat costs, provide ChatGPT training resources and automate up to two business processes a month. The Team plan is $2,899 per month (promotional price) plus a $4,997 onboarding fee, with a 6-month minimum. See the plans page.
Not ready for a monthly plan? The ChatGPT Workspace Pilot is a one-time $1,250 project. We set up ChatGPT Business for 2 teammates, then map out and automate 1 workflow, such as vehicle descriptions or a weekly aged-inventory summary. Your store buys the seats directly from OpenAI. At day 30 we measure the workflow against its before numbers. If you move to the Team plan within 30 days, the $1,250 is credited toward it.
Those automations can include workflows that touch customer data. We build them once your security plan and consent steps cover that data.
We also write the store's AI policy with you. If your group needs an Enterprise workspace for role-based access and audit logs, we set that up too. We are an OpenAI Select Partner.

Frequently asked questions
Can dealerships use ChatGPT with customer information?
Yes, once your written security plan covers the tool. Dealers that finance, arrange financing or lease for over 90 days fall under the FTC Safeguards Rule. It requires vetting service providers and checking the security of outside apps that handle customer data. Keep credit applications, Social Security numbers and driver license numbers out until the tool is approved, and use a company workspace instead of personal accounts.
Does ChatGPT Business train on dealership data?
OpenAI says it does not use Business inputs or outputs to train its models by default. Personal Free, Plus and Pro accounts may be used for training unless the user opts out.
What is the fastest way for a dealership to start with ChatGPT?
Pick one workflow, such as internet lead replies or vehicle descriptions. Set up a company workspace, have staff draft with ChatGPT and a manager review the output, then measure the time saved after 30 days.
How much does ChatGPT cost for a dealership?
ChatGPT Business starts at 2 seats. A Standard seat is 20 dollars a month on annual billing or 25 dollars monthly, so 10 seats cost 200 dollars a month on annual billing. Enterprise pricing is custom.
Can ChatGPT connect to CDK, Reynolds or my CRM?
Not directly. As of October 2026 OpenAI has no plugin for CDK, Reynolds and Reynolds, Tekion, VinSolutions, DealerSocket or Elead. Where your vendor allows API access, a custom app can connect them. ChatGPT Business has plugins for tools such as Gmail, Outlook, Google Drive, SharePoint, Slack, Salesforce and HubSpot. Ask your DMS and CRM vendors what AI they offer inside their systems.
